Here's why: the model the requester named may be current, or it might be one generation old. Search results surface both, and reseller listings can show outdated specs. The manufacturer's official product page shows the current model name, available configurations, accessory options, and the official spec sheet—which I can forward to the requester for confirmation.
When the chromatography team asked me to research the Shimadzu SFC online SFE analytical instrument, I went straight to Shimadzu's SFC/SFE product section, pulled the model number list, and sent it to the lab lead. That one step cut out days of email confusion. Without a confirmed model, a quote is just a guess.
Step 2. Ask for item-by-item quotes, not a "system" price
This is the step I wish I'd adopted earlier. A vendor's "complete system" quote sounds reassuring—until you realize "complete" means something different to them than it does to you.
I still kick myself for accepting a single-line quote for what I thought was everything. When the shipment arrived, the software license wasn't included, and a sample loop had to be ordered separately. That was $2,100 in extras I hadn't budgeted for, plus a week and a half of schedule slip.
So now I ask every vendor to break the quote into components. If they push back, that's a red flag before you even get to the total price.
Step 3. Convert "estimated arrival" into a committed date
Lab schedules run on dates. Audits happen on dates. So when a sales rep says "it usually ships in four to six weeks," I don't put that in the purchase order. I reply: "Can you commit to a ship date of [date] and an arrival date of [date]? If there's a delay, who will notify us?"
In 2024 I nearly ordered a piece of equipment a rep said would "arrive early next month." The purchase order had an approval process that would have added a week. I caught the conflict before approving. So glad I did—the requester was building their entire validation timeline around that arrival date.
Also ask what the delivery date assumes. Customs, calibration, and storage can all add days that nobody mentions on the first phone call.
Step 4. Confirm what happens after delivery
Big instruments often need installation and training. That's not a hidden cost in a malicious sense—it's just not on the first quote unless you ask.
A Shimadzu UV-Vis spectrophotometer is mostly plug-and-play. A more complex system like the Shimadzu SFC online SFE analytical instrument is different. It may require compressed gas supplies, a dedicated bench, vendor-assisted installation, and operator training that costs extra.

I ordered a digital earth resistance tester last year and scheduled the delivery perfectly. The unit arrived in three weeks. What I missed was the calibration certificate, which took two more weeks. The safety team wouldn't put the tester into service without it, because their inspection protocol required a documented device. The delay wasn't the vendor's fault. It was mine.
If I'd asked those two questions on day one, the certificate would have arrived at the same time as the unit. Now I put "calibration certificate: yes/no" on every request for quote.
Step 6. Compare total cost, not sticker price
Sticker prices feel concrete. Future costs feel abstract. Non-technical buyers get hurt right there.
When our clinic asked me to compare Zeiss vs Global dental microscope options, both systems were priced within a few thousand dollars of each other. But the five-year cost picture was different: one included a five-year warranty and installation, the other offered one year and charged for setup. Service contract pricing differed too.
I keep a simple spreadsheet: quote price, shipping, installation, warranty, and estimated service contract over five years. The system that looked more expensive on the first quote ended up cheaper in total. That comparison changed the conversation.
And to be clear: I do not decide which microscope has better optics. That's not my call. My job is to lay out the numbers so the people with clinical expertise can make the right decision on good information.
Step 7. Get the requester to sign off in writing
Before I create a purchase order, I send a summary email. It looks like this:
"Please confirm this is the correct model and configuration. Quote attached. Delivery date: [date]. Total cost: [amount]. Please reply 'confirmed' or specify changes."
That might sound formal. But it protects the requester, the vendor, and me. If the wrong item arrives, the conversation isn't "why did the admin buy the wrong thing." It's "the configuration was confirmed in writing, so let's check what changed."
I learned this from a coworker who ordered a Profinet encoder without double-checking the connector type. The part didn't fit the cable run. It was a preventable mistake—and everyone had to live with the return.
Mistakes I Still See in Purchasing
Even with a checklist, these keep showing up:
- Accepting the first quote. I check the manufacturer's authorized distributor plus two independent resellers. The price spread is bigger than you'd guess.
- Trusting verbal promises. If a rep says something on a call, I follow up: "As discussed, delivery by [date]. Please confirm." If it's not in writing, I don't base my schedule on it.
- Forgetting consumables. A UV-Vis spectrophotometer needs lamps and cuvettes. A dental microscope needs bulbs. If those take three weeks to ship and nobody ordered them with the main unit, the instrument sits idle.
- Ignoring the timeline behind the request. "We need a better analyzer" might actually mean "we need one before the audit." Those are different purchasing requirements.
